A free flat at a housing cooperative often draws very many applications. Many cooperatives still let the same way: the vacancy goes on their own website, applications arrive by email or web form, and the letting office reads every dossier by hand. This answer explains what letting software can take over for a cooperative office, what aptari does, and what it does not do.
What a cooperative office needs from letting software
- One inbox instead of email stacks, with complete dossiers: ID, salary certificate (Lohnausweis) and debt enforcement extract (Betreibungsauszug).
- The same rules for every application, whether it came in the first hour or on the last day.
- Your letting rules checked, such as the minimum and maximum number of people per flat, pets and smoking.
- A record that shows the board or the members how a flat was allocated.
- Data protection. The Data Protection Act (DSG) applies to every application, and the Federal Data Protection and Information Commissioner (EDÖB) explains in a leaflet which data a landlord may ask for.
What aptari does for a housing cooperative
aptari is Swiss software for letting flats, with a second side for renters. You publish a flat with your requirements. Renters apply with their Tenant Passport, a dossier they prepare once. Every application gets a Match Score from 0 to 100 with the reasons shown. The score is computed by fixed rules, with no language model in the calculation, and it does not read nationality, permit type, civil status, age, gender, religion or family status.
The house rules check shows for every application whether each rule is met, not met or still open: income of at least 2.5, 3 or 3.5 times the rent, no open debt enforcement, ID, salary certificate and debt extract verified, legal residence in Switzerland, non-smoking flat, no pets, the minimum and the maximum number of people per flat, and a reference from a previous landlord. Applicants see the same check before they apply. It blocks no application and changes no score.
Every score is stored with the version of the rules, and every allocation decision is logged with its date. With Selection Bridge you choose the new tenant and decide on every other application one by one: decline it or leave it open. Selected and declined applicants are notified. The decision always stays with a person at your cooperative. Data is stored in the EU (Frankfurt); some processing is done by providers in the USA, as the privacy policy explains.
What the free plan includes
Housing cooperatives get the whole Enterprise plan, which otherwise costs from CHF 1,999 a month:
- unlimited listings, Match Scores and full applicant profiles
- the house rules check and the document check (name, documented income, open debt enforcement and the date of the extract compared, inconsistencies flagged)
- the Briefing Agent: every morning up to ten open applications per flat above your score threshold
- Selection Bridge, with a logged decision for every application
- 50 Live Tours a month with up to 200 people each
- up to 5 people in the team with their own login and role, and locations, for example one per housing estate
- CSV export
It is free, with no credit card and no automatic switch to a paid plan. There are no extra charges for Live Tours or team seats.
Who qualifies and how it works
The offer is for housing cooperatives that meet three points: entered in the commercial register with the legal form of a cooperative, a purpose of building or letting housing, and their seat in Switzerland. Foundations and other non-profit housing providers write to info@aptari.ai, and we decide case by case.
- Create an account with the name of your cooperative, from the page for housing cooperatives. Until the check, it runs in the normal 14-day trial.
- We check the commercial register with your cooperative's name and UID number (it starts with CHE), usually within 3 working days. If the housing purpose is not clear from the register, we ask for the statutes by email.
- You confirm once: CHF 0, with no credit card field.
There is no minimum term. You can delete the account at any time in the settings, with seven days to change your mind.
What aptari does not do today
- Not in the check today: income and asset limits for subsidised flats, member priority, waiting lists and lotteries. What your letting regulations require beyond it, you check as before.
- aptari does not decide who gets a flat. No score and no check changes the status of an application.
- There is no link to property-management software yet. CSV export is available.
Your flats in the aptari feed
aptari already checks the websites of about 800 housing cooperatives and other non-profit housing providers every day and shows the open flats it finds in its free feed, with a link to the cooperative's own website, where the application goes. Nothing changes for those flats unless you change it. With your own account you publish flats directly on aptari: they become partner listings, renters with a Tenant Passport apply in one click with ID, salary certificate and debt extract, and the applications arrive sorted in your inbox.
