What does aptari do for property managers and landlords?

aptari is a Swiss applicant-management and tenant-selection tool for property managers, agencies and private landlords, and the other side of its rental platform for renters: you publish a rental listing, renters apply with their Tenant Passport, and every applicant gets a Match Score from 0 to 100 with the reasons shown. Your inbox is sorted by fit, and you decide. Plans: Starter CHF 0 (1 active listing), Growth CHF 499 a month at launch (regular CHF 999, 10 listings, Live Tours) and Enterprise from CHF 1,999 a month. Start with the 14-day Growth trial: no credit card, no setup fee.

Most people meet aptari from the renter side: one feed of Swiss rental listings and a Tenant Passport. The same platform has a second side for the people who let flats: Verwaltungen and Bewirtschaftung teams, régies in French-speaking Switzerland, amministrazioni in Ticino, real-estate agencies and private landlords. The idea in one line: Portals give you an inbox. aptari gives you a ranked shortlist: every applicant scored by the same rules, with the reasons shown. You decide.

What aptari does for a property manager

You publish a rental flat with your requirements. Renters apply with a dossier they prepared once, so applications arrive complete and the main documents are already checked. aptari scores every applicant against your listing and shows you a sorted list with the reasons behind each score. You invite the people you want to a viewing, you choose the tenant, and on the Enterprise plan aptari sends the acceptance and the declines for you. Your listing also appears in the aptari feed that renters browse for free, next to the listings from Homegate, ImmoScout24, Flatfox and the websites of housing cooperatives. aptari works in German, French, Italian and English and serves Switzerland only.

How it works, step by step

  1. Create the listing and set your requirements. Income ratio, household size, pets, smoking, parking and move-in date. Before you publish, a fairness check blocks any filter on a protected characteristic: nationality, religion, family status, age, gender or disability.
  2. Renters apply with their Tenant Passport. The dossier holds ID, salary certificate (Lohnausweis), Betreibungsauszug and references. ID, salary certificate and debt extract have already been through an AI check, so you are not chasing missing papers.
  3. Every applicant gets a Match Score from 0 to 100. It compares income, documents, references and your requirements with the listing, and it shows the reasons. Your inbox is sorted from the highest score down. On Enterprise, House rules add a check of your requirements for every applicant, and Document AI reads income from the salary certificate, compares it with the profile, checks the issue date of the Betreibungsauszug, checks that the ID is readable and the name matches, and flags inconsistencies with a reason.
  4. Live Tours. Viewings as live video in the browser, with no app to install. Invitations and reminders go out automatically. Growth includes 20 tours a month with up to 50 attendees each, Enterprise 50 a month with up to 200.
  5. You decide. The score sorts, it does not decide. The choice of tenant always stays with a person at your office.
  6. Selection Bridge (Enterprise). You choose the tenant and decide on all other applicants, one by one or all at once. aptari then sends the acceptance and polite declines in each applicant's language. Contact details are released once both sides have confirmed. Nothing is sent without your decision.

What changes compared with an inbox of emails and PDFs

Portals such as Homegate, ImmoScout24 and Flatfox put a flat in front of many renters and deliver the applications. What follows is often manual: emails with PDFs in different formats, documents to chase, and a judgement on each dossier that depends on who reads it and when. On aptari the step after the application changes:

  • Every dossier arrives in the same structure, with the same documents.
  • Every applicant is measured by the same rules, whether they applied early or late.
  • The reasons behind each score are visible, which makes a choice easier to explain to an owner or to an applicant who asks.
  • On Growth and Enterprise you can export applicants as a CSV file.

The difference is not where the flat is advertised. It is how the applications are sorted and checked.

Fairness, data protection and who decides

The Swiss Federal Data Protection and Information Commissioner (EDÖB) has published a leaflet on application forms for rental flats (updated 15 July 2025) that explains which data a landlord may ask for. The Data Protection Act (DSG) applies to the personal data in every application. On aptari:

  • Protected characteristics are never used. Nationality, religion, age, gender, disability and pregnancy are not part of the Match Score, and the permit type is never read.
  • The fairness check blocks filters on protected characteristics before a listing goes live.
  • A person decides. The Match Score sorts and explains. It never accepts or declines anyone.
  • Audit trail. With Selection Bridge, every decision is recorded in a full audit trail, and every Document AI finding is logged.
  • Deletion. Declined, withdrawn and ended applications are deleted completely 30 days after the decision. Deleting an account deletes everything it holds.
  • Where data lives. Data is stored in the EU (Frankfurt). Some processing is done by providers in the USA, as the privacy policy explains.

Which plan fits whom

  • Private landlord or small manager: Starter, CHF 0. 1 active listing and 5 Match Scores a month after the trial. A 14-day Growth trial is included.
  • Small and mid-size Verwaltung: Growth, CHF 499 a month launch price (regular CHF 999). 10 active listings, 1,000 Match Scores and 1,000 full applicant profiles a month, Live Tours, CSV export and email support.
  • Large managers, several offices, institutional landlords: Enterprise, from CHF 1,999 a month. Unlimited listings, Match Scores and profiles, Document AI, House rules, the Briefing Agent with a daily ranked shortlist per active listing, Selection Bridge, team seats and offices, onboarding and a dedicated account manager.

Prices include Swiss VAT. There is no setup fee, no per-applicant fee and no commission on leases. All details are on the pricing page and in how much aptari costs for agencies.

What aptari does not do today

  • No ERP link yet. There is no connection to property-management software yet. CSV export (Growth and Enterprise) is available today.
  • It does not decide for you. The score sorts, the choice stays with you.
  • Rental only. aptari handles rental flats, not sales listings.
  • Switzerland only. Other countries are not served today.

How to start

Open an account on aptari for agencies and publish a listing. Starter is free and includes a 14-day Growth trial: no credit card, no setup fee. After the trial you stay on Starter unless you choose Growth or Enterprise. How to list an apartment on aptari walks through the listing step by step, and tenant selection software in Switzerland gives the wider view.
